Letters of Support and Non‑NHS Requests

What Are Letters of Support or Private Letters?

These are documents requested by patients for non‑clinical purposes, such as housing applications, benefit applications, Blue Badge requests, school or visa support, travel documentation, etc. They fall outside the scope of NHS‑funded services.


Our Policy on These Requests

  • Non‑NHS Work: If you ask for work not covered by the NHS Primary Care Services contract, your GP may undertake it as a private service. A fee will apply, and on some occasions the GP may decline the request. Our priority remains NHS work.
  • Fee Structure: Fees are charged in line with British Medical Association and MASTA travel guidelines, reviewed annually.
  • Processing Time: Once payment is confirmed, we aim to complete requests within 28 working days. We will inform you if more time is needed.

How to Make a Request

  • Email us or post a letter with details of your request and any forms. We will confirm whether your GP can complete the work and advise of any charges before starting.
  • Payment (card or bank transfer) is typically required in advance. If you have questions about fees or payments, contact our administrative lead team.
  • Please wait until the 28‑day timeframe has expired before calling or emailing for an update, as we are prioritising medical care for patients.

Special Guidance for Housing Applications

Requests for medical letters or reports supporting housing applications often come from local authorities, housing associations, Citizens Advice or directly from patients. Our approach follows the safe working guidance:

  1. No Obligation to Provide: GPs are not contractually obliged to provide reports on demand for housing applications.
  2. Referring to the Housing Department: When patients request information directly, we may refer them back to their local authority’s housing department.
  3. Self‑Assessment Forms: Housing departments typically provide a self‑assessment form that applicants should complete themselves; this does not require GP input.
  4. Additional Medical Evidence: If further information is needed, the housing department’s medical officer should contact us directly (with your written consent) using a standard form. They may seek:
    • The diagnosis
    • Severity of illness
    • Medication
    • Likely effect of appropriate rehousing
  5. Fees Under Collaborative Arrangements: When a housing department requests a report via the correct channels, a fee will be payable under collaborative arrangements.
  6. Patient Confidentiality: If sharing any correspondence with external bodies, ensure patient identifiers are removed to comply with data protection rules.
